Rentec Direct understands how crucial it is to stay on top of tenant communications, timeliness of correspondence, and documentation of communications when it comes to time-sensitive matters like overdue rent or expiring leases.  This new Mailing Wizard saves you the trouble of buying stamps, envelopes, and paper, printing notices, stuffing and sealing envelopes, stamping envelopes, and bringing those letters to the mail carrier.  All these steps are now automated, thanks to Rentec Direct’s new Mailing Wizard.

Rentec Direct provides several methods to communicate with your tenants directly through your software. The New Mailing Wizard was created by your Rentec Direct Development Team to save you time and expand your communication options to include mailing notices via USPS from the convenience of your Rentec Direct software from wherever your “office” may be.

With the collaboration of the new Mailing Wizard, Rentec Direct property management software now includes a completely integrated mailing feature for all Rentec Pro and PM clients. 

The Mailing Wizard Makes Your Tasks Simpler, Quicker, and More Efficient

The Mailing Wizard is simple to use, incorporates features already used throughout your software, and allows you to choose the delivery method. While the Mailing Wizard uniquely provides the tools to quickly send notices in bulk to tenants with Leases Expiring Soon and Rent Overdue, it is perfect for any type of notification, such as:

  • Welcome letters
  • Reminders of maintenance issues
  • 30-day notice
  • Notice to vacate 

How It Works

  1. Optionally create a message template
  2. Access the Mailing Wizard, select the Template and recipients
  3. Choose the delivery method
    1. Email 
    2. Print (Print in your office formatted for two window envelopes ready to be mailed)
    3. Automatically send letters by USPS
      1. First Class
      2. Certified
      3. Certified with electronic return receipt
  4. A dated copy of the correspondence will be automatically saved in the tenants’ message history and may serve as a formal record of the correspondence and evidence in disputes.

How Much Does the Mailing Wizard Cost?

We’ve made arrangements with nationwide logistics and shipping companies to print, stamp, and mail your letters for roughly the same price as it costs to do it yourself, in many cases even less than doing it yourself.  You no longer need to purchase the envelopes, stamps, paper, and toner and spend your valuable time doing it yourself.  Future pricing will adjust based on the price of postage and materials; however, today’s postage rates allow us to print and mail for:

  • First Class.  $1.00 for the first page, $0.11 each additional page
  • Certified Mail.  $6.60 for the first page, $0.11 each additional page
  • Certified Mail with Electronic Return Receipt.  $9.25 for the first page, $0.10 each additional page

How To Send Bulk Notices and Letters with the Automated Mailing Wizard


In your Rentec Direct account:

  1. Click on Tenants
  2. Click on Mailing Wizard
  3. Select a Template or No Template to enter a custom message
    1. When No Template is selected, enter your custom message using the toolbar to adjust:
      1. Font size and style, Alignment
      2. Insert images, graphs, and links
      3. Insert data fields to populate information from your Rentec Direct account automatically
  4. Use the Filter to display the recipients by:
    1. Days Overdue (convenient for bulk mailings)
    2. Days Until Lease End (convenient for bulk mailings)
    3. Name – Lists all tenants, allowing selection of one or multiple tenants
  5. Check All Recipients or select individuals
    1. Click on Fix to update invalid email addresses and page back to return to the Mail Wizard after saving changes
  6. If No Template was selected, enter your custom message using the toolbar to adjust:
    1. Font size and style, alignment
    2. Insert images, graphs, and links
    3. Insert data fields to populate information from your Rentec Direct account automatically
  7. Click on
    1. Email
    2. Print (Print and mail) or
    3. Send letters
      Note: After selecting your delivery method, you will be provided the option to review before sending.
  8. After reviewing the letters and making any needed corrections, Click on Email, Print, or Place Order (to send via usps)

Cancelling a Letter From Being Sent

You can easily cancel letters from being sent as needed.

In your Rentec Direct account:

  1. Click on Tenants
  2. Click on Mailing Wizard
  3. Click on View Orders
  4. Click on the Order
  5. Check the box next to the letters you would like to cancel
  6. Click on Cancel Selected

*About Rentec Labs – If you see our lab beaker next to a feature or page within Rentec Direct, it indicates that the feature is new and just leaving the “lab” (aka our software developers’ workshop). A feature included in Rentec Labs has already gone through rigorous internal testing; however, since it is a big new feature it may have had limited testing outside of our offices. Once the feature has been in use externally for some time with no issues, it will leave Rentec Labs.
